Why the cancellation fee doesn’t change when you update a service

When a client books online, their bank authorises the cancellation fee based on the original service total at the time of booking.

If you later edit the booking (for example, changing it to a lower-priced service), the authorised cancellation amount does not automatically update. This is because changing it would require cancelling the original authorisation and requesting a new approval from the client’s bank.

Banks treat each authorisation as a separate request, and re-authorising can:

  • Trigger additional security checks
  • Create multiple pending holds on the client’s account
  • Risk the new authorisation being declined

To avoid confusion or failed payments, the system keeps the original authorised amount in place.

What can you do instead?

If the booking changes, you still have full control at the time of cancellation:

  1. Manually adjust the amount you charge
  2. Process a partial charge if needed
  3. Refund any difference where applicable

💡 Tips for stylists

  • Let clients know upfront that cancellation fees are based on the original booking value
  • If making major changes, consider cancelling and rebooking to reset the authorisation
  • Keep communication clear to avoid confusion around holds and charges
